Position: Warehouse Manager – Pharmaceuticals

About Fenot Associates
Fenot Associates Social Services PLC (Fenot Associates) is an Ethiopian company working in health and other development sectors. As part of its expanding portfolio, Fenot Associates is establishing a pharmaceutical import and distribution business and is seeking a qualified professional to serve as Warehouse Manager.
Position Summary
The Warehouse Manager will manage Fenot Associates' pharmaceutical warehouse day-to-day and ensure medicines are received, stored, handled, documented, and dispatched in accordance with EFDA requirements and applicable Good Storage and Distribution Practices.
The Warehouse Manager will work closely with the Technical Manager and other staff involved in procurement, logistics, finance, and distribution.
Key Duties and Responsibilities
The Warehouse Manager will:
- Manage the day-to-day operation of the pharmaceutical warehouse.
- Ensure proper receipt, inspection, storage, handling, picking, packing, and dispatch of pharmaceutical products.
- Maintain accurate inventory, stock cards/bin cards, receipt and dispatch records, and other required warehouse documentation.
- Monitor stock levels and maintain accurate records of products entering and leaving the warehouse.
- Apply appropriate inventory-management practices, including FEFO (First-Expiry, First-Out), where applicable.
- Monitor and document warehouse temperature, humidity, and other required storage conditions.
- Ensure proper operation and monitoring of cold-chain storage where applicable.
- Ensure that medicines are protected from contamination, deterioration, damage, unauthorized access, and inappropriate environmental conditions.
- Maintain appropriate segregation of expired, damaged, returned, recalled, quarantined, or otherwise unfit products.
- Ensure that unfit pharmaceutical products are appropriately documented and handled for disposal in accordance with applicable requirements.
- Maintain warehouse cleanliness, organization, security, and appropriate occupational safety practices.
- Ensure compliance with Good Storage Practice (GSP), Good Distribution Practice (GDP), relevant SOPs, and EFDA requirements.
- Support stock counts, inventory reconciliation, internal reviews, and regulatory inspections.
- Report suspected product quality, safety, efficacy, storage, or documentation problems to the Technical Manager immediately.
- Support product recall and traceability activities when required.
- Maintain warehouse records and make them readily available for internal review and EFDA inspection.
- Work closely with the Technical Manager to ensure the warehouse remains in regulatory compliance.
- Perform other related duties assigned by the Technical Manager or Fenot Associates management.
Salary and Benefits: Negotiable and commensurate with qualifications and experience.
Requirements
Minimum Qualifications and Experience
Applicants must meet either of the following EFDA qualification requirements:
Option 1 – Pharmacist
- Bachelor's degree in Pharmacy from a recognized university.
- Valid professional registration/license from the appropriate Ethiopian regulatory authority.
- No prior work experience is required for regulatory eligibility; newly graduated pharmacists may apply.
OR
Option 2 – Druggist/Pharmacy Technician
- Diploma or equivalent recognized professional qualification as a Druggist/Pharmacy Technician.
- Valid professional registration/license from the appropriate Ethiopian regulatory authority.
- Present a release letter from the previous company.
- At least two (2) years of relevant professional work experience.
Applicants must also:
- Be eligible to serve as Warehouse Manager under current EFDA requirements.
- Be able to provide the professional and employment documentation required for licensing.
- Not concurrently serve as Technical Manager or Warehouse Manager for another pharmaceutical importer or distributor where this would conflict with EFDA requirements.
Preferred Experience and Competencies
Although newly graduated pharmacists who meet EFDA requirements are eligible, preference may be given to candidates with:
- Experience or training in pharmaceutical warehousing, logistics, supply-chain management, or inventory management.
- Knowledge of Good Storage Practice and Good Distribution Practice.
- Familiarity with pharmaceutical inventory systems, stock cards, bin cards, FEFO, batch tracking, and expiry-date management.
- Understanding of temperature-controlled storage and cold-chain management.
- Good recordkeeping and documentation skills.
- Basic computer skills, particularly Microsoft Excel and electronic inventory systems.
- Attention to detail, integrity, reliability, and ability to maintain accurate records.
- Good communication and teamwork skills.
