Position Purpose

Plan and execute approved procurement requirements so that fit-for-purpose goods and services are obtained on time and at the best evaluated total cost. The role manages the commercial procurement process, supplier performance and procurement records while preserving required separation of duties.

Essential Accountabilities

• Procurement planning: Consolidate approved requirements and maintain a rolling procurement plan aligned with operational priorities, budgets and required dates.

• Requisition control: Confirm that each request is clear, complete, budgeted and properly approved before sourcing; return incomplete or unauthorised requests.

• Sourcing and supplier management: Conduct fair competitive sourcing and required supplier due diligence, and maintain a capable and appropriately qualified supplier base.

• Evaluation and negotiation: Compare total cost, delivery, quality, warranty, capacity and risk; lead documented negotiations and submit an objective award recommendation.

• Purchase order and contract coordination: Prepare authorised Purchase Orders or contracts, control amendments, compile the required support documents and follow commitments through closure.

• Delivery and service continuity: Monitor delivery and supplier performance, coordinate resolution of delays or non-conformance, and support timely availability of critical recurring materials.

• Cost optimisation: Analyse spend, pricing and supply options; pursue competitive, framework and consolidation opportunities that reduce cost without weakening specification, quality, delivery or warranty.

• Records, reporting and integrity: Maintain accurate and traceable procurement records, report performance, protect confidential information, support audits and promptly escalate conflicts, fraud indicators or control breaches.

Process boundary: Detailed procurement methods, thresholds, supplier checks, quotation and tender controls, receiving and invoice documentation, records and reporting routines are governed by the current Procurement Policy, Delegation of Authority and Procurement Process or SOP.

Authority Limits
The Officer operates within the approved Procurement Policy and Delegation of Authority. The Officer may conduct sourcing, negotiate commercial terms and recommend suppliers, but may not approve awards, commit the Company, certify receipt independently, maintain supplier bank details, or approve or execute payments. Detailed authority and control requirements are defined in the Procurement Process or SOP.

Job Requirements

• Bachelor's degree in procurement, supply chain management, business administration, logistics, finance or a related field; a recognised procurement certification is preferred.

• At least three years of relevant experience in procurement, sourcing, supplier management or materials control; service, logistics, transport or fleet experience is an advantage.

• Practical knowledge of competitive sourcing, supplier evaluation, negotiation, Purchase Orders, contract administration and inventory coordination.

• Strong numerical and analytical ability, with proficiency in Excel and an ERP or procurement system.

• High integrity, sound commercial judgement, attention to detail and clear written and verbal communication skills.
