Job Description
Position Title: Liaison Officer
Department: Supply Chain Department – Facility Division
Reports To: Facility Division Manager
The Liaison Officer is responsible for coordinating and maintaining effective relationships between the company and external stakeholders, including government offices, utility providers, telecom service providers, property owners, regulatory authorities, and other service organizations. The position ensures timely processing of permits, licenses, utility and telecom services, lease agreements, tax obligations, and other administrative requirements to support uninterrupted business operations.
Key Duties and Responsibilities
Government and Regulatory Liaison
- Serve as the primary contact person between the company and government offices.
- Follow up on permits, licenses, approvals, and regulatory requirements.
- Coordinate document submission and collection from government institutions.
- Monitor regulatory changes affecting company operations.
Utility and Telecom Administration
- Coordinate with utility service providers regarding electricity, water, and other utility services.
- Follow up on utility account issues, new connections, disconnections, and service interruptions.
- Coordinate telecom service requests, account management, and service issue resolution.
- Maintain records of utility and telecom accounts and contracts.
Property and Lease Administration
- Monitor lease agreements and follow up on lease payment requirements.
- Coordinate with landlords and property management offices on facility-related matters.
- Assist in property registration, tax administration, and compliance activities.
Tax and Compliance Coordination
- Follow up on annual property tax payments and related documentation.
- Ensure timely submission of required documents to regulatory authorities.
- Maintain compliance records and support audit activities.
Stakeholder Relationship Management
- Build and maintain effective relationships with external stakeholders.
- Coordinate meetings and communications with government agencies and service providers.
- Represent the company in external administrative matters as assigned.
- Maintain an updated database of permits, licenses, utility accounts, lease agreements, and tax records.
- Prepare monthly activity and status reports.
- Track pending requests and follow up until closure.
- Maintain accurate filing systems for all liaison-related documents.
Key Performance Indicators (KPIs)
- Percentage of utility bills paid before due date.
- Percentage of telecom bills paid before due date.
- Percentage of government requests processed on time.
- Number of service interruptions due to delayed follow-up.
- Percentage of annual taxes paid before deadline.
- Percentage of lease payments processed on time.
- Monthly report submission compliance rate.
- Stakeholder satisfaction level.
- Frequent travel to government offices, service providers, and company facilities.
- Extensive interaction with internal and external stakeholders.
- Occasional work outside normal office hours to meet urgent operational requirements.
Requirements
- Bachelor’s degree in management, Business Administration, or related field.
- Minimum of 2–4 years of relevant experience in liaison, administration, facility management.
- Experience dealing with government offices and service providers is preferred.
- Excellent communication and negotiation skills.
- Strong follow-up and coordination ability.
- Knowledge of government procedures and administrative processes.
- Record management and reporting skills.
- Proficiency in Microsoft Office applications.
- Ability to work independently and manage multiple priorities.
- High integrity and professionalism.
