ROMEL is one of the leading Ethiopia's established importers and distributors of electrical equipment. Our import department keeps the supply chain moving — from supplier proforma to cleared goods in the warehouse — and we're looking for a detail-driven Documentation Officer to own that paper trail.
Key Responsibilities
Documentation & Regulatory Compliance
- Prepare, review, and verify all critical import documents, including Commercial Invoices, Packing Lists, Bills of Lading/Airway Bills, and Certificates of Origin.
- Ensure strict compliance with the Ethiopian Customs Commission regulations and Ethiopian Conformity Assessment Enterprise (ECAE) standards.
- Manage pre-import requirements, including applying for and securing import permits, insurance certificates, and necessary regulatory approvals.
Banking & Financial Coordination
- Process and manage payment instruments, primarily Letters of Credit (LCs), Cash Against Documents (CAD), and Advance Payments.
- Liaise closely with local commercial banks to ensure adherence to National Bank of Ethiopia (NBE) directives for foreign exchange and import permitting.
- Monitor LC expiration dates, shipment deadlines, and ensure timely amendments when necessary in all bankable doucments.
Logistics Coordination & Tracking
- Coordinate with international suppliers, freight forwarders, shipping lines, and local customs clearing agents to ensure timely dispatch and arrival of shipments.
- Update and maintain the import and inventory modules within the company’s ERP system (e.g., Odoo) to ensure accurate, real-time visibility of shipment statuses for the management team.
- Troubleshoot and resolve any discrepancies in shipping documents to avoid demurrage, storage charges, or customs delays.
Record Keeping & Reporting
- Maintain an organized digital and physical filing system for all import transactions, ensuring audit readiness.
- Generate weekly and monthly landed cost and shipment tracking reports for the Import Director and senior management.
Requirements
Qualifications & Requirements
- Education: Bachelor’s Degree in Logistics, Supply Chain Management, Business Administration, International Trade, or a related field.
- Experience: 3–5 years of proven experience in import documentation
- Technical Knowledge: Deep understanding of INCOTERMS 2020, customs tariff classifications, and international shipping protocols.
- Software Skills: Proficiency in Microsoft Office Suite (especially Excel) and experience working with modern ERP software (such as Odoo) is a plus.

- High level of meticulousness and attention to detail to prevent costly documentation errors.
- Strong communication and negotiation skills for interacting with banks, suppliers, and government authorities.
- Ability to work under pressure and manage multiple shipments simultaneously.
- Strong analytical skills for reviewing financial models, landed costs, and operational workflows.
